Privacy Policy

HelpingMe.Rent (helpingme.rent) is operated by Kai Min, a licensed real estate salesperson with Royal LePage Meadowtowne Realty — 475 Main Street East, Milton, ON L9T 1R1 ("we", "us"). This policy explains what personal information we collect, why, and how it's protected. We follow Canada's federal privacy law, PIPEDA (the Personal Information Protection and Electronic Documents Act).

Who we hold information about

Renters (our clients). Your name, email, and the documents you choose to share to build your rental file — for example photo ID, pay stubs, employment letters, bank statements, credit reports you provide, and references. You decide what to upload; missing documents never block you from starting.

Landlords and realtors (screening requesters). Your name, email, and the applicant documents you submit for screening. When you submit someone else's documents, you confirm you have that person's consent — that confirmation is recorded with the request.

Technical. Standard server logs (IP address, request path, time) kept for security monitoring and debugging. We do not run advertising trackers or third-party analytics on this site.

What we use it for

Building and maintaining your rental file, and showing you its status in your portal.
Sharing your file — only with your approval, only where you direct. Nothing is sent to any landlord, broker, or anyone else without you seeing and approving it first.
Producing screening reports for landlords and realtors from the documents they provide.
Sending the emails the service runs on: your secure sign-in link, updates about your file, and — only if you opt in — occasional check-ins. Every email includes our mailing address and an unsubscribe path, as Canada's anti-spam law (CASL) requires.

We never sell personal information. We never use your documents for marketing.

How you sign in

There are no passwords. You enter your email; we send you a secure, time-limited link. Especially sensitive document types — government ID and credit reports — require an extra verification step before they can be uploaded or viewed, on top of your secure link.

Where your information lives

Data is stored on servers we control with our hosting provider, and email is delivered through a transactional email provider; these providers may process data in Canada and the United States. All traffic to the site is encrypted (HTTPS).

How long we keep it

Screening requests (landlords/realtors): uploaded documents and the report are deleted 90 days after delivery.
Rental files (renters): kept while your file is active so you can reuse it. You can ask us to delete your file and documents at any time (see below).

Professional oversight — the real-estate layer

This service is run by a registered real estate salesperson, which puts it under Ontario's real-estate regulator on top of privacy law:

RECO registration. Kai Min is registered with the Real Estate Council of Ontario (RECO), which regulates everyone trading in real estate in Ontario under the Trust in Real Estate Services Act (TRESA) and its Code of Ethics.
Confidentiality is a professional duty, not just a promise. The same rules that govern how a registrant must protect client information and records in a real-estate transaction apply to how your documents are handled here.
Brokerage accountability. Work is carried out under Royal LePage Meadowtowne Realty, with the record-keeping obligations Ontario imposes on brokerages.
Insurance. RECO registrants carry mandatory professional liability (errors & omissions) insurance.

Your rights

Email us at [email protected] to ask what we hold about you, correct something, or have your file and documents deleted. We respond to every request. Seeing your own information is always free — access to what we hold is never behind a fee. (A fee applies only to release of the finished broker-ready package as a deliverable — see the Terms of Service.) Deleting your file doesn't affect information already shared with a landlord at your direction — that copy is theirs.
